Usually somewhere between five and twenty staff. Below that the owner can still hold the whole job in their head, and the honest answer is often to switch on a setting in software you already pay for.

Do I have to replace my job management software?

No, and I would rather you did not. Most of the work is connecting what you already run, Tradify or Fergus or ServiceM8 and Xero, and building only the piece none of them covers.
